Employment and Salary Verification


You may need to verify your employment or salary if you are buying a home, renting an apartment, establishing credit, applying for a loan, purchasing a car, traveling (if you have immigrant status), etc.

University of Virginia has partnered with The Work Number, an Income and Employment Verification service. Please review the Work Number website for additional information or contact The Work Number for your verification needs. Their services are available 24/7 for your verification needs. The Work Number database is a simple, secure, and discreet way to help get proof of your employment and income information to companies when needed.

Companies requesting employment verification are charged a fee for the service. If the verification cost is then billed to the employee, The Work Number may refund the transaction cost to the employee. Considerations for reimbursement include the following:

  • Reimbursement is limited to transactions that are explicitly indicated on an invoice as a Work Number transaction
  • More general transactions indicating administrative or processing fees are not eligible for reimbursement
  • The employee must provide proof of the charge to Talent Support (i.e., letter or invoice from the company and payment of the fee, receipt, copy of check)

The Work Number requires verifiers to provide an Employer Code. This code identifies our organization with The Work Number. Below are all associated Employer Code for the University of Virginia, Medical Center and the University Physicians Group.

  • University Physicians Group 19623

Please note that If the employee you are trying to verify employment for has had an Internal transfer within the last three years you will need to pull another report for that employer code.

How to Use The Work Number

Get answers to your questions about how to use The Work Number®.

  • Employment Verification

    Give the verifier (the person needing proof of your employment) the following information:

    • UVA Employer Code: ACD 14053, MC 14563, UPG 19623
    • The Work Number website and phone number (see resources)
  • Salary/Income Verification

    A One-Time Passcode (OTP) will be issued to any new or returning Work Number users. Use the following steps to log in to the application.

    1. On The Work Number website, select the employee option and log in

    • Enter your username: Your UVA email ID in all CAPS > Click Continue
    • Enter your PIN: Last four digits of your Social Security number, followed by your four-digit year of birth (you will choose a new password after initial login)

    2. Verify your User Information

    • If you are a first-time user, you will be asked to provide basic personal information, including address, phone, and email.
    • If you a returning user, enter the username and password you created previously.
    • An OTP will be sent to the address, phone, or email associated with your account. Follow the prompts to enter the OTP.
    • First-time users will be prompted to reset their password once they have verified their identity.

    3. Give the verifier (the person needing proof of your employment and income) the following information:

    • Your Social Security number
    • UVA Employer Code: 14053
    • The Work Number contact information (see resources)
  • Immigration Verification

    Email your request to askhr@virginia.edu. We do require a 5-7 business turn around on such verification letter, as all verifications are processed in order at which received.

    Get Access to your Employment Data Report (EDR):

    Your Employment Data Report (EDR) provides your current and historical employment and income information on The Work Number database, as well as a list of all verifiers who have requested your information in the previous two years. Because The Work Number database complies with the Fair Credit Reporting Act, the EDR is available to you for free.

  • Salary Key Verification

    A Salary Key is a single-use, six-digit code that you can provide to a verifier as consent to access your income information. Just so you know, your consent is provided at point-of-application (for example, when you sign a loan application), and a Salary Key is not normally needed – actually less than 1% of the time in most cases. But if a verifier asks you to provide one, The Work Number makes it easy to get one, here are the steps to retrieve it 

    1. Go to employees.theworknumber.com
    2. Click "Log in"
    3. Search and select your employer
    4. If you're a first-time user, select "click here" to register; if you’re a registered user, enter your employer-provided user ID, or the user ID you created, and password
    5. Once logged in, select the “Salary Key” tab
    6. Once in the Salary Key tab, click on the “+ New Salary Key” to generate a Salary Key, after which the page will refresh with the new Salary Key listed, with options to email, print, or delete it

    The new Salary Key can be printed or emailed with instructions for the verifier on how to use it through The Work Number.  

    Note – At any point, select the “Salary Key Activity” link to view the status (used, unused, expired) of keys created.

    New users will sign up as one of the following:

    • Commercial organization – I need to verify employment or income of an individual
    • Social Service organization – I need to determine eligibility for government assistance

     

    How do I Login to The Work Number?

    1. Start by going to www.theworknumber.com
    2. Select “Log In” and follow the simple prompts
    3. Enter the relevant Employer code 
    4. If this is your first time – pick “Register Now”. If a returning user – enter your username and password you set up.
    5. The screens prompts will walk you through all the steps to help verify your identity and keep your account private while offering helpful messages if you have problem.
