What is Labor Distribution?

The Integrated System's Labor Distribution module contains a collection of current or future charging instructions that specify how a payment should be distributed for a given employee. Labor schedules are established for specific time periods and represent the percentage of the pay amount to be charge to a specified PTAEO(s). Labor schedules may be established for any period of time in the future. Once the payroll has been processed for the time period, a labor schedule cannot be changed, and incorrect charges must be adjusted by doing a Labor Distribution adjustment.

Access

The University seeks to strike a balance between open access to data and data protection by assigning Integrated System (IS) and Student Information System (SIS) Responsibilities to employees. The Responsibilities allow access to specific categories of data and the assignment process complies with the University of Virginia Administrative Data Access Policy.

Requests for Integrated System responsibilities are made by you or your supervisor and submitted via the Electronic Self-Help Access Request Process (ESHARP). To begin the IS access process, go to ESHARP. In most cases, additional responsibilities are automatically assigned with a responsibility.

The departmental Labor Distribution (LD) responsibilities in the Integrated System include the following:

  • LD Specialists enter labor schedules, initiate distribution adjustments, and access labor distribution reports.
  • LD Labor Schedule Specialists enter labor schedules only.
  • LD Approvers enter labor schedules, initiate and approve distribution adjustments, and access labor distribution reports.
  • LD Approvers/Setups enter labor schedules, initiate and approve distribution adjustments, access labor distribution reports, and set up organization (org) default labor schedules.

Conflicting Responsibilities: None

Responsibility Assignments: Persons assigned any of the responsibilities listed above will also be automatically assigned the ODS Specialist responsibility which allows access to Oracle Discoverer, the reporting tool for the Integrated System.

LD1: Labor Distribution-All Users

Integrated System Navigation and Overview is an introductory online course that must be taken prior to taking courses specific to any IS responsibility. You can register for these and other courses via Employee Self-Service in the Integrated System.

Note: For viewer roles, training is not required but is highly recommended. For ODS Specialists, Introduction to Discoverer is an online course that is not required but is also highly recommended.

Six Month Rule: If you have taken a required class for a specific responsibility, but have not completed the training nor have had the responsibility activated within six months of taking the class, you will be required to retake the class. Also, if you are assigned a responsibility that you previously had, which was deactivated for longer than 6 months, you will be required to retake the course(s) before it is reactivated.
