Weather or Emergency Event Status


What is My Weather or Emergency Event Status?

As a community, when we have an emergency we need to make informed decisions that maintain critical operations while keeping our colleagues and students safe. To that end, the University has created an “emergency event status” designation for employees to clarify who should come to work and who should stay home. Specifically, all employees in both the Academic Division and UVA Health have been given a status of either "designated" or "non-designated". The designation helps us respond more effectively during inclement weather and other emergencies, and helps employees and team members better understand what is expected of them in emergency situations.

In the event of an emergency, we encourage managers to keep designated employees who must work to a minimum helping to keep local traffic low for first responders. Designated employees who do work may need to alter habits, such as using parking garages rather than parking lots so lots can be cleared without obstruction.

Agency Closing for the Academic division is utilized as a result of University closing or following a modified schedule due to inclement weather or other emergency events. For pay guidance during such an event, see below. Only the President (or designee) may declare a University closing. Further information is provided in University Policy HRM-032, Disruption of Normal University Operations Resulting from Weather or Emergency Events.

Pay during Weather or Emergency Events

  • I am Academic division staff, How am I paid during emergency and weather events?

    Upon a declared University modification of operations, as a result of inclement weather or other emergency event, employees within the UVA Academic Division will complete their timecards as set forth below.

    When a weather event is predicted, if you are able to work remotely, be prepared to work from home if your position permits. This includes bringing home your computer when leaving prior to a storm arriving. If there is no closing or modified operations when the event occurs, you would resume your normal duties and return to work. 

    Employee (Event) Designation

    Modified Schedule (Delayed Opening, Early Closure, Full Day Closure)

    Designated Non-Exempt Employees

    Report to work; pay for hours worked and agency closure pay if working on Grounds; pay for hours worked if working remotely. If unable to work, PTO should be entered

    Non-Designated Non-Exempt Employees whose job duties can only be performed on Grounds

    Do not report to work, use Agency Closure pay for hours missed due to Modified Schedule

    Non-Designated Non-Exempt Employees whose job duties can be performed remotely as needed

    Work remotely or use PTO if unable to work due to illness, childcare, pre-scheduled time-off, or temporary loss of power.

    Designated Exempt Employees

    Report to work on Grounds or remote; receive normal pay. If unable to work, PTO should be entered

    Non-Designated Exempt Employees

    Work remotely or use PTO if unable to work due to illness, childcare, pre-scheduled time-off, or temporary loss of power.

  • I am a University Medical Center Team Member, How am I paid during emergency and weather events?

    Medical Center employees should use PTO for any time missed due to inclement weather.
