Academic Division Early Dismissal

Posted: October 3, 2017

SUBJECT: October 6 Early Dismissal for Academic Division Faculty and Staff

TO: Academic Division Faculty and Staff

FROM: Kelley Stuck, Vice President and Chief Human Resources Officer

This weekend the University will welcome alumni, distinguished visitors, and friends who are traveling from near and far for the Bicentennial Launch Weekend. We look forward to welcoming our visitors and commemorating an important milestone in our University’s history together.

EARLY DISMISSAL FOR ACADEMIC DIVISION FACULTY AND STAFF

To minimize potential traffic and parking disruptions on Friday, October 6, the University asks academic faculty and staff* who are not attending Bicentennial events and those who do not have academic commitments to leave Grounds at 3:00 p.m. Classes that extend beyond 3:00 p.m. will be held as scheduled. The Provost’s Office is working with faculty who are teaching in the Lawn area on Friday afternoon to accommodate the needs of their classes.

To facilitate the early dismissal, two hours of “comp special” leave have been granted to salaried staff members. Those not working on Bicentennial activities and who do not have academic commitments related to Friday afternoon classes should use this leave on the afternoon of October 6. Staff supporting the Bicentennial events and those involved with academic commitments on Friday afternoon may use it at a future date.

Below is some specific information about the comp special leave and how to use it:

  • Leave is available even though you will not see it in your leave balances. Select “Comp Special Leave” on your timecard and enter two hours for October 6.
  • For those who are working Bicentennial events and those who have academic commitments on the afternoon of October 6, do nothing at this time. Your comp special leave balance will update in the next pay period, and the leave will be available for your use within one year.

Please contact the HR Service Team at AskHR@virginia.edu or 434-982-0123 with any questions regarding leave use.

*School of Medicine employees involved in clinical operations should consult with their manager as they also may be required to remain on Grounds and use the leave at a future date. Leave for part-time staff will be pro-rated. Medical Center employees are not included in this closure.

PARKING

The John Paul Jones Arena parking lot will not be available to parking permit holders during the day on October 6. Permit holders are advised to utilize the normal alternative parking locations. The Department of Parking and Transportation (P&T) will communicate directly with permit holders for affected lots and post details on P&T’s Special Events web page, along with information about parking garages and bus schedules.

I encourage everyone to take advantage of this opportunity to mark this important milestone in the University’s history by participating in this weekend’s events or in other events and programs scheduled for the months ahead.
