Compliance

Employees are responsible for monitoring their use of the Education Benefits Program to ensure that payment limits are not exceeded and that they are in compliance with program requirements. Participants are expected to provide supporting documentation of payment and completion/participation no later than one month after completion of the course. If proof of completion is not submitted, repayment of the benefit is expected.

If a course is canceled or you have to drop a course and repay the money, you must contact University Human Resources within one month. You can either make a check out to UVa and send to the University Human Resources or you can request that the amount be withheld from your next paycheck by e-mailing AskHR@virginia.edu.

The University conducts program audits on a regular basis to ensure eligibility and program compliance. An employee may be required to repay the Education Benefits Program for the cost of Education Benefit assistance and/or lose eligibility for further Education Benefit assistance if he/she:

  • does not pass the course with a C-minus or better

  • does not satisfactorily finish an Incomplete

  • fails to successfully complete a non-credit course, certificate or license

  • has requested payments that exceed Program limits

  • receives funds that are not applied directly and in a timely manner to the requested education benefit

Employees approved for the education benefit and also receive a student loan, must immediately begin repayment of the student loan or the tuition itself ensuring that the education benefit they received is directed towards the tuition or the student loan.

Employees who do not inform UHR of any of the above circumstances may face disciplinary action, up to and including termination, will be required to repay the Education Benefit, and may lose eligibility for future Education Benefit assistance.
