Workers Compensation Leave

Workers’ Compensation Leave provides paid leave for employees participating in the Traditional Sick Leave Program who suffer from a work-related injury or disease.

Employees participating in the Virginia Sickness and Disability Program (VSDP) who suffer from a work-related injury or disease and miss at least a week of work would complete the Workers’ Comp documentation and initiate a claim for short-term disability through Reed Group.


Eligibility

  • Part- and full-time (20–40 hours per week) salaried Classified Staff enrolled in the Traditional Sick Leave Program
  • Salaried University Staff with a University Leave Sick Bank (ULSB)

  • Only salaried Classified Staff hired prior to January 1, 1999, and who opted out of the October 1 – November 30, 2002, opportunity to enroll in the Virginia Sickness and Disability Program (VSDP) may still receive this benefit

  • Employees and supervisors may contact UVA Human Resource’s Workers’ Comp Division to discuss approvals of workers’ compensation


Requesting Leave

Depending on your role, you will have certain responsibilities regarding Workers’ Compensation Leave:

Employees

  • Inform supervisor according to departmental procedure of a Workers’ Comp incident
  • Inform supervisor on a daily basis of any change in status
  • Contact the UVA Human Resource’s Workers’ Comp Division to report the incident, determine eligibility, and initiate required paperwork
  • Complete a paper timesheet for any pay period that contains any workers’ comp leave; do not submit an online timecard
  • If you have VSDP, code the paper timesheet with “VWC” for approved Workers’ Comp Leave; if you do not, use code “NWC”

Supervisors/Departments

  • Contact the UVA Human Resource’s Workers’ Comp Division to ensure the incident is reported and required paperwork is completed
  • Ensure a paper timesheet is completed and submitted prior to the payroll deadline to the UHR Leave Division; do not submit an online timecard
  • Make any corrections by submitting another paper timesheet to the UHR Leave Division

UVA Human Resourcess

  • Provide information and counseling regarding Workers’ Compensation Leave to employee and department
  • Enter employee’s Workers’ Comp leave into the online self-service time and leave system
  • Verify and ensure the appropriateness of all supporting documentation
  • Ensure that time and leave are entered appropriately
